How to List & Fulfil Dropship Products

This guide explains how to list products and fulfil orders using WholesalePA’s dropship fulfilment service.

Part 1: How to List Dropship Products on Your Shop

Step 1: Register or Sign In

Create an account on WholesalePA and sign in to access dropship features.

Step 2: Download Product Information

You can prepare your listings in two ways:

Click “Download” to download product information directly

Or click “Add to Queue” and download products in batch

To ensure file accuracy and system performance, batch downloads are limited to 30 products at a time.

Step 3: List Products on Your Sales Channel

Upload and list the products on:

eBay

Your own website (Shopify, WooCommerce, etc.)

You are responsible for product listings, pricing, and platform compliance.

Part 2: What to Do After You Receive Orders from Your Customers

Option A: Place a Single Dropship Order

(For one-off orders without holding stock)

Step 1: Add to Cart

Add the required product(s) to your cart.

Step 2: Checkout & Payment

Go to the cart page and proceed to checkout.
Complete payment using the supported payment method.

Step 3: Order Processing & Dispatch

Once payment is received, WholesalePA will dispatch the order directly to your customer.

Typical delivery time: 2–6 business days, depending on shipping method and destination.

Step 4: Check Tracking Information

Go to My Orders → View Details to obtain the tracking reference for the order.

Option B: Upload Batch Orders & Make Batch Payment

(For multiple orders without holding stock)

Step 1: Download Your Order Data

Export order information from your eBay store or website.

Step 2: Upload Orders

Go to Upload Batch Orders and click Add Your Orders.

Step 3: Add Orders

You may:

Add orders one by one using Enter an Order, or

Import orders in bulk using Import & Process Batch

Please download one of the provided file templates, copy your order data into the file, and upload it.

Step 4: Batch Payment

After uploading your orders, select the orders and complete Batch Pay to pay for all selected orders together.

Step 5: Order Processing & Dispatch

Orders will be dispatched individually to each customer after payment is confirmed.

Typical delivery time: 2–6 business days.

Step 6: Check Tracking Information

Go to Upload Batch Orders → View Details to view tracking references.

Part 3: Holding Stock (Optional)

Holding stock allows you to reserve UK inventory for future orders.

Important Notes on Holding Stock

Only products marked as “Hold: Yes” are eligible

Hold quantity is limited to 50% of available stock

Stock cannot be held if available quantity is less than 10 units

Step 1: Place a Hold Stock Order

Add eligible products to your cart with the quantity you wish to hold.

Please ensure the hold quantity does not exceed available UK stock.

Step 2: Complete Hold Order Checkout

At checkout, select Hold Order (not standard checkout) and complete payment.

Step 3: Stock Allocation

After payment, inventory will be allocated to your account.
You can view held stock under My Hold Stock Products.

Hold Stock Cancellation Rules

Free cancellation with full refund within 14 days

Cancellation after 14 days may incur a service fee

Stock held for over 60 days must be shipped out or will be treated as inactive stock

To reduce risk, please avoid holding excessive stock quantities.

Part 4: Using Your Held Stock to Fulfil Orders

Step 1: Download Your Customer Orders

Export order information from your selling platform.

Step 2: Use Held Stock

Go to Use My Hold Stock and click Add Your Orders.

Step 3: Add Orders

Use Enter an Order for single orders

Use Import & Process Batch for batch uploads

Step 4: Payment

You may pay for:

A single order, or

Multiple orders using Batch Pay

In most cases, stock quantity is deducted from your held inventory.
Additional delivery charges may apply for remote areas.

Step 5: Dispatch & Delivery

Orders are dispatched after confirmation.

Typical delivery time: 2–7 business days.

Step 6: Tracking

Tracking references can be viewed under Use My Hold Stock → View Details.
